June 17 - The recently formed Natural Resources Board special advisory committee for effective alternative deer population control methods will meeting via conference call at 7:00 p.m.  The conference call will be preparation for the first meeting on Saturday, June 20.  A chairperson for the committee and the agenda for Saturday's meeting will be discussed.  Committee members and the public can visit the working committee website before the meeting at www.wiherdcontrol.org. A pre-meeting phone conference is scheduled for tomorrow Wednesday June 17th at 7PM CST.  

It is advised to print this email out for reference during the call and to verify you responded to all information requests.

 

This brief phone meeting will serve as a welcome to committee members, discussion of chairperson selection, and the meeting agenda for this Saturday June 20, 2009 at the Stevens Point Ramada Inn.

Preparation for this teleconference meeting is detailed below along with the agenda.

(Special Note: Everyone should have received an email June 12, 2009 from the DNR with subject line “NRB earn a buck special advisory committee”. In that email, a link to self-nomination form for Chairperson was included. If someone missed this and still wants to be considered for Chairperson, please submit your information via this form link before the phone conference.)

 

Wednesday June 17, 2009 7PM CST.

Please reply to this email on whether you can attend the phone conference and if you want to be automatically added (I call you) or you wish to call in to the conference. Either way is toll-free. If you wish to be called to be added, please let me know the phone number you wish me to call you at for the phone conference.

There are two ways to join the conference call:

  1. Automatic – I call You
    Reply to this email with the phone number you want to use during the teleconference, and I will call and add you automatically a few minutes before 7PM. Be sure to use a quiet location and use a phone with a mute button if possible..
  2. Manual – You call into the conferencing system
    If you prefer, you can call directly into the conference by following these steps.
                 - Call 1-866-xxx-xxxx
                 - Ignore the recorded message
                 - Press 3
                 - Press xxx
    You will hear a beep and be added to the conference call. Call to get help.

Review the attached meeting prep and agenda for June 20th and post comments to the website under the Discussion Board topics.

Ground Rules to make the phone meeting more productive:

·         Location and Phone:
Please find a quiet location and use a phone if possible with a mute button to cancel errant background noise while not speaking.

·         Timed Input
The facilitator will state how much time each person has to share their input. This prevents conversations from taking time from other topics.

·         Topic Announcement
The facilitator will announce each topic and provide background information and the desired outcomes of the discussion.

·         Polled Input
If a simple poll decision, the facilitator will run through the participants asking for input. If you need clarification, at your turn ask your questions.

·         Information Sharing
For simple announcements or information sharing, the facilitator or designee will simply provide the information and then ask if any questions.

·         Open-ended Topics
For open-ended topics, those interested in stating their input will be invited to state their FIRST name which will be noted by the facilitator. The facilitator will start with that list and allow each person to speak in turn.
 
After each person speaks, the facilitator will ask those with questions to briefly state their first name. The facilitator will run through that list until questions are answered.

These will be identified for future meetings or website discussion board activity.
